AI for wedding venues: a plain-English guide
An AI enquiry assistant answers the couples who email your venue, straight away, using your own prices, packages and tone. Your team still confirms every date, price and booking. This guide explains how it works and whether it suits your venue.
What is an AI enquiry assistant?
It is software that reads new enquiries as they arrive, for example from your website form, Hitched, Bridebook or your inbox, and sends a helpful first reply within a minute or two.
It is set up with your venue's facts: capacities, packages, starting prices, catering rules, accommodation and viewing times. It writes in your venue's voice, not a robotic one.
What can it do for a wedding venue?
- Reply to every enquiry within minutes, including evenings and weekends.
- Send the right brochure and price guide for the guest numbers and season asked about.
- Offer viewing times so couples can book a visit.
- Send polite follow-ups to couples who go quiet after a viewing or quote.
- Ask for a review after the wedding.
- Pass anything unusual to your team with a short summary.
What should it never do?
- Confirm that a date is free. Availability always comes back to your team.
- Agree a price, discount or contract.
- Take payments or deposits.
- Pretend to be a named member of staff if you would rather it did not.
Why does reply speed matter so much?
Couples usually contact several venues at the same time. The venues that answer quickly, with clear prices and viewing times, tend to get the viewings. A reply that arrives a day or two later often lands after the couple has already booked visits elsewhere.
What does it cost?
Charles Redwood sets up enquiry assistants for a fixed fee: Starter from £750 and Full Setup from £1,500, with optional Ongoing Care at £195 a month. The software running costs are usually small, often around £10 to £50 a month depending on how many enquiries you get.
How long does setup take?
Around two weeks: a free reply-speed check, the build, a testing period where you approve every answer, then go-live.
Common questions
Will couples know they are talking to an AI?
That is your choice. Many venues sign replies from "the events team" and mention that out-of-hours replies are automated.
Does it work with Hitched and Bridebook?
Usually, yes. Most enquiry platforms send enquiries to an email inbox, which is where the assistant works.
Do I need to be technical?
No. The setup is done for you. You answer questions about your venue and approve the replies.
